Art in the Occitanie Terms and Conditions
These Terms and Conditions govern your participation in the ‘Art in the Occitanie’ residential art course organised by Kate Guy and partners, held in Arboras France 34150. By booking a place, you agree to these terms in full.
1. BOOKINGS & PAYMENT
1.1. Booking Confirmation
Your booking is confirmed when agreed with Kate by email and upon receipt of either full payment or a non-refundable deposit of £250.
1.2. Payment Terms
The remaining balance must be paid by 6 weeks before the retreat. If full payment is not received by the due date, your place may be offered to someone on the waiting list, and your deposit may be forfeited.
1.3. Payment Methods
We accept payment via accepted payment methods, e.g., bank transfer, credit or debit card.
2. CANCELLATIONS & REFUNDS
2.1. Participant Cancellations
If you cancel your place:
· More than 6 weeks before the retreat: You will receive a full refund minus the deposit.
· 4–6 weeks before the retreat: 50% of the retreat fee will be refunded.
· Less than 4 weeks before the retreat: No refund will be issued.
You may transfer your place to another person upon approval.
2.2. Cancellations by the organisers
In the unlikely event that we must cancel due to unforeseen circumstances (e.g., illness, natural disaster, venue closure), you will be offered:
· A full refund, or
· The option to transfer your booking to a rescheduled date or future retreat.
We are not responsible for any expenses incurred due to cancellation (e.g., travel, accommodation outside the Retreat).
3. PARTICIPANT RESPONSIBILITY
3.1. Health and Medical
You are responsible for disclosing any relevant medical conditions, allergies, or dietary needs before arrival. Participation is at your own risk, and we assume no responsibility for health issues that arise during or after the retreat.
3.2. Code of Conduct
We expect all guests to behave respectfully towards fellow participants, staff, and the venue. We reserve the right to remove any participant who disrupts the safety, comfort, or enjoyment of the group, without refund.
4. EXPERIENCE
4.1. Programme Changes
While we aim to deliver the full advertised programme, we reserve the right to modify activities, facilitators, or schedules due to unforeseen circumstances.
4.2. Travel and Insurance
Travel to and from the venue is not included. We strongly recommend that you obtain travel insurance that covers cancellation, illness, and personal belongings.
5. LIABILITY
We are not liable for:
· Loss or damage to personal belongings
· Injury, illness, or accidents during the retreat
· Any costs resulting from factors outside our control (e.g., transport delays, weather disruptions)
Your statutory rights are not affected.
6. MEDIA & PHOTOGRAPHY
Photographs and videos may be taken during the Retreat for promotional purposes. Please inform us in writing before the retreat if you do not consent to your image being used.
7. DATA PROTECTION
All personal data collected during the registration process is handled in accordance with our Privacy Policy (via the website). We will only use your information for retreat administration and relevant communications.
8. GOVERNING LAW
These Terms are governed by the laws of England and Wales. Any disputes shall be resolved under the jurisdiction of the English courts.
9. PARTICIPANT AGREEMENT
By signing up, I acknowledge that I have read, understood, and agree to the ‘Art in the Occitanie’ Terms and Conditions as outlined above.
